How registration works — for first-time coaches

If this is your first time entering dancers for "Christmas Magic" through this system, read this first — it takes 3 minutes and saves confusion later.

The short version

  1. One account per club, not per dancer — create it once.
  2. Pick a format from the dropdown (Solo, Couple, Synchro, Formation, etc.) — the form adapts automatically.
  3. "Add to the draft list" only SAVES a draft — nothing is submitted until you click "Submit" at the very end.
  4. Before the deadline you can freely log in, edit and add more — nothing is final ahead of time.
  5. Fee: €20 for a dancer's first entry, +€5 for each following one, €80 cap total per dancer. A dancer entered only in synchro teams, formations or Show Dance formations pays €10 per entry.
1

Account

You register only once, as the club's head/representative — not one account per dancer. Use the "Register" button on the entry page to create an account with an email and password, and give your club name and city. From this one account you enter all your dancers, for every format.

2

Pick a format from the dropdown

At the top of the form is a dropdown listing every possible format — Solo, Couple, Seniors, Pro-Am, Synchro Duo, Synchro Team, Formation (and its variants), Show Dance (solo/couple/formation). Pick the format your dancer(s) will compete in — the card below automatically shows exactly the fields it needs. You never have to guess where to look — every format has its own, clearly labelled entry in the menu.

3

The draft list — nothing is final yet

Once you fill in the details and check the categories you need, click "Add to the draft list". This does NOT submit anything — it only adds it to the list below, which you can freely edit, fix, or remove from. The entry only counts as submitted once you click the big gold "Submit" button at the very end of the page. Until then, nothing is officially recorded.

4

The \"Add an existing dancer\" button

If a dancer is already entered — in another format this same session, or from an earlier submission of yours — you don't need to type them in again. "Add an existing dancer" opens a list of your already-entered dancers; pick one with a single click and all their details (name, year, club, city) fill in automatically.

5

Fees

The fee is worked out for each dancer from the number of their entries (the categories they are registered in): €20 for their first entry at the festival and €5 for each following one if the dancer has at least one solo, couple or synchro duo entry; €10 per entry if the dancer dances only in synchro teams, formations or Show Dance formations. Never more than €80 in total for one dancer, however many entries they have. For a couple, synchro duo, synchro team or formation, the amount is the sum of each dancer's own fee. The exact breakdown is shown in the draft list before you submit.

6

One club, one city per person

The system remembers which club and city each real dancer belongs to. If you enter the same name with a different club/city than before, you'll get a warning showing exactly what doesn't match — this is to catch a typo, not to forbid mixed-club pairs (a partner from a different club is entirely allowed).

7

Submitting and the deadline

The form closes automatically 10 days before the festival — after that, logging in and making changes is no longer possible. Before the deadline you can log in any time, add new dancers/formats, or edit/remove entries you've already submitted from “My registrations”. After every submission you get an email summarizing your whole registration so far.

8

More from “My registrations”

From “My registrations” you also have access to: invoice details (if you'd like one), a judge conflict-of-interest declaration (if you personally are also a judge at the festival), and uploading music for the free-choice-music formats (Synchro Team, Formations, Show Dance) — sent straight to the music engineer.

Frequently asked questions

Do I have to pay while filling in the form?
No. The form only records participants — payment is made on site when the club checks in on the day of the festival (or by bank transfer, if preferred). The amount due is shown in “My registrations” and updates whenever the list changes.
Can I edit or remove a participant after I've already submitted?
Yes, any time before the deadline — from “My registrations” you can edit or remove any entry you've already submitted.
I got a dancer's birth year/club wrong compared to an earlier entry — what happens?
The system remembers every dancer by name+year and by club/city. If you enter something different from before, you'll get a clear warning showing exactly what doesn't match, so you can fix it on the spot instead of it slipping through.
Can the same dancer compete in several formats (e.g. solo and couple)?
Yes — just add them separately in each format (or use "Add an existing dancer" so you don't retype them). Their fee continues along their own ladder instead of starting over.
I run several clubs. What should I do?
Create a separate account for each club, with a different email (e.g. the club’s email). One account is for one club — the amount due, the invoice details and the confirmations belong to it. If a dancer from another club is in a mixed couple or group, just enter their own club when you add them.
Several coaches register for our club. What is the right way?
Each coach can have their own account and registers their own competitors — they see and pay only for them. Spell the club name the same way in every account. If a dancer competes under two coaches, register them from one account only, so their fee is not counted twice.

Need help?
